Before a discussion ends, say who will do what and by when. Ask the person to confirm they have what they need. Record dependencies and make it clear where a delay should be raised. An owner coordinates the outcome; they do not necessarily do every part alone. A concrete handoff reduces the space for conflicting assumptions.
End with a name, an action, and a date
Agreement in the room does not automatically become action outside it.
A small example
“We should update the supplier list” becomes “Arun will confirm the three missing contacts by Tuesday and put the final list in the shared folder. Priya will send him the current contracts today.”
Keep in mind
Do not assign a deadline without checking capacity. An impossible commitment is still impossible when written clearly.
